Meeting Rescheduled to October 9-11, 2020

Given the current restrictions related to the COVID-19 pandemic and the current trend of infection in Louisiana, the LPTA Executive Committee has decided to reschedule the 2020 Fall Meeting to the weekend of October 9–11, 2020. The LPTA Executive Committee’s goals are to hold an interactive meeting, a high-quality educational session, and to provide you with an opportunity to visit with your colleagues in a safe environment. Holding the meeting in August did not seem feasible under the current circumstances. We are hopeful for improvement by October.
We sincerely apologize for any inconvenience this may cause, and hope that you will consider joining us for the meeting in early October. The meeting will still be hosted at the Crowne Plaza Executive Center in Baton Rouge, LA. Our speakers are working with us, and we plan to follow the same tentative schedule of events as originally planned. Click the link above to view the meeting brochure with the updated meeting dates.
If you are currently registered for the meeting, you do not need to do anything or make any changes to your registration if you plan to attend in October. If you would like to cancel your registration for any reason, please email the LPTA office at office@lpta.org detailing your reason for cancelling.

Since the meeting is now to be held on October 9-11, 2020,
the deadline to register with the Early Bird discounted rates has been extended through September 16, 2020. Starting September 17th, registration rates will increase. Pre-registration for the meeting will be available through October 1st, after which registration will be available onsite only.

COVID-19 Update

At this time, we are planning to hold an in-person 2020 Fall Meeting and any deviations from this plan will be communicated to all LPTA contacts. We are working closely with the Crowne Plaza Executive Center to ensure that sanitation procedures and other precautionary measures will be taken during the meeting, as the health and safety of our attendees and community is of the utmost importance. Please note that these safety precautions will be updated based on current CDC recommendations and the government, state, and federal mandates. As we get closer to the meeting, we will be offering updates on our safety measures.

COVID-19 Safety Measures and Recommendations for Attendees

What We Will Do:

Cleaning and Sanitation

The Crowne Plaza will be providing hand sanitizer stations at every front desk pod, entrances to meeting rooms, entrance to meeting room hallway, and scattered throughout the hotel. Hotel rooms will be thoroughly sanitized and disinfected by the hotel. Meeting rooms will be thoroughly sanitized and disinfected by the hotel at the end of each day.

Social Distancing

  • Concurrent and General Sessions
    Seating inside meeting rooms will be limited to two persons per table. Participants will be provided an identification table tent to place on their selected table inside the meeting room, so as to maintain their place throughout the day. Participants will be asked to take their table tent with them at the end of the day and return with it on following days. 
  • Business Meeting and Luncheon
    The meeting room will be set up with six-foot round tables, with a maximum of 4 people seated at each table. Seating will be limited and advance registrations may be required depending on attendance.


Food and Beverage Precautions

Food that is not individually wrapped will be served to attendees by hotel staff. Attendees will be allowed to serve themselves only when food is individually wrapped.

Meeting Registration/Check-In Desk Precautions

We strongly encourage attendees to pre-register for the meeting in order to eliminate congestion at the registration desk and to help the registration process move quickly and efficiently. We will provide hand sanitizer stations in the registration area.

We will separate attendees into two lines alphabetically by last name in order to help spread out the registration area/check-in desk. All meeting staff will be required to wear masks.

What You Can Do:

1. Wear a Mask

Baton Rouge is currently under a mask mandate set forth by the mayor extending through August 3, 2020. If such mandate holds, all attendees must wear a mask at all times during the meeting. Masks may only be removed by the presenter while presenting, by guests when in their guest room, and by attendees when consuming food or beverages.

2. Practice Social Distancing

One of the highlights of attending our in-person meetings is the ability to socialize with colleagues and attendees. When holding discussions or socializing, please avoid shaking hands, keep spacing between each other at a reasonable distance, and wear a mask. For all other times, please try to maintain a 6-foot (safe) distance from others as often as possible while attending the meeting.

3. Bring Your Own Pens, Personal Hand Sanitizer, Etc.

Please bring anything that you think you may need during the meeting in order to eliminate shared items and contact. Though we will provide hand sanitizer stations throughout the event space, we encourage you to bring your own to have on-hand before eating meals, touching shared items, etc.

4. Do Not Attend if Sick or Exposed to COVID-19

If you were running fever or were exposed to someone who tested positive for COVID-19 within two weeks before the meeting, please reach out to the LPTA office to cancel your registration and receive a full refund by 4:00 pm on Monday, October 5, 2020. If you experience either of these circumstances after this date, please reach out to the LPTA office detailing your circumstances.

LPTA cannot guarantee measures taken will fully protect attendees from contracting COVID-19; therefore, anyone concerned or in the high risk category should consider joining us in future years.
